Project Description
The Wallich’s Development Department aims to create safe and accessible homes and workspaces which are psychologically informed environments enhancing the support we provide to people. This role is to assist colleagues and managers within the department in ensuring that the data required such that all properties owned or occupied by The Wallich are maintained safely, effectively, and that energy is used efficiently, is maintained to a high standard.
Purpose of Role
1. To assist in ensuring that records relating to all properties owned, leased, and managed by The Wallich are recorded on property registers, our CRM (Client Relationship Management) and FM (Facilities Management) System, Inform (Salesforce), and SharePoint. Data will include, but not be limited to, leases, management and/or service level agreements, tenant licences and contracts.
2. To accurately summarise tenant and landlord responsibilities detailed in leases, management and/or service level agreements within property registers, liaising with third parties, such as private landlords or housing associations, in the event of queries or disputes.
3. To assist in compiling statutory compliance data, and establishing reporting mechanisms, quality, and health and safety information for various subgroups/stakeholders.
4. Work in partnership with Services, Operations and Support Teams to collate and maintain systems, policy, procedure, and guidance linked to Health and Safety, Housing Management, and Facilities Management and Maintenance.
5. To assist colleagues in Finance in the maintenance of the organisational fixed asset registers, leading on the compilation and maintenance of asset inventories for all properties owned, leased, and managed by The Wallich to support the work of the Facilities Officers in coordinating reactive and planned maintenance.
6. To assist colleagues in the Finance and Operations Teams in reporting upon and monitoring energy usage in properties for which The Wallich is responsible for utilities. The Energy and Facilities Management Data Officer will also support colleagues responsible for the calculation of carbon emissions data, ESOS (Energy Savings Opportunities Scheme) compliance, and sustainability
7. To oversee the approval of utilities invoices for The Wallich with appropriate reference to energy consumption data and checks performed as part of the bill validation process by our energy brokers, (currently Auditel). This includes facilitating completion of 5% VAT Exemption Certificates, where applicable.
8. To work with our brokers, utility providers, Finance and Operations colleagues to ensure the efficient commissioning and decommissioning of utilities at our properties, including the completion of Change of Tenancies (‘COTs’).
9. To be the principle point of contact within The Wallich for the energy broker, utilities companies, landlords, and Operational staff for the coordination of the continued roll-out of SMART meters and any other relevant digital energy management technology.
10. To undertake ad hoc administrative and light maintenance duties for the Development Team, including the Health and Safety Manager. This will incorporate, but not be limited to assisting with the creation and collation of content for the Development and Health & Safety Intranet pages, undertake ordering for stationery, cleaning materials etc., and helping maintain office facilities with ‘The Hive’.
This role is subject to a Basic DBS disclosure.
